ErgonomicsHelp is based in Prince Edward Island, Canada. We are committed to protecting your privacy in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy laws. We also take steps to honour the rights of individuals located in jurisdictions with additional privacy protections, including the European Union (GDPR) and California (CCPA/CPRA), where those laws apply to our processing.
1. Information We Collect
We collect personal information in the following ways:
Information you provide to us
- Account information — when you create an account on our portal, we collect your name, email address, password (stored hashed), and any optional profile details you add (such as profession, credentials, or photo).
- Purchase information — when you buy a course (such as the Ergonomics Blueprint), join a membership (such as Accelerate or Mastermind), or book a coaching call, we collect billing details. Payments are processed by Stripe; we do not store full card numbers on our systems.
- Communication content — emails, contact-form submissions, survey responses, lesson feedback, course reviews, equipment reviews, and messages you post in our community spaces (e.g., Discord, comments, member forums).
- Newsletter subscriptions — your email address and any preferences when you sign up for "This Week in Ergonomics" or other broadcasts.
- Content you upload — files, images, assessments, or documents you upload through portal tools, including the Privacy Toolkit (File Vault, Text Redactor, Photo Privacy, Metadata Inspector). Where these tools are designed to operate locally in your browser, files are not transmitted to our servers; we describe per-tool behaviour in the tool itself.
Information collected automatically
- Portal usage data — within the members' portal, we record progress through lessons (which lessons you've watched or marked complete), course reviews and feedback you submit, and basic activity needed to deliver the learning experience and personalize what you see next. We do not run third-party analytics or advertising trackers.
- Server logs — like any web service, our servers temporarily record connection details (IP address, browser user-agent, URL requested, timestamp) for security, abuse prevention, and diagnostics. These are retained for a short period and not used to build advertising profiles.
- Cookies and similar technologies — see Section 7.
Information from third parties
- Payment processors — Stripe provides us with transaction confirmations, subscription status, and the last four digits of your card.
- Calendar bookings — when you book a call, our scheduling provider shares your selected time, contact details, and any intake answers.
2. How We Use Your Information

- Create and manage your account and verify your access tier (e.g., Blueprint, Accelerate, Mastermind).
- Deliver courses, downloads, podcasts, member tools, and other Services you've purchased or signed up for.
- Process payments, send receipts, manage subscriptions, and handle renewals, refunds, or chargebacks.
- Track your progress through lessons and personalize the learning experience.
- Send transactional emails (purchase receipts, account notices, password resets, course updates).
- Send marketing emails, newsletters, and broadcasts where you have consented (you can unsubscribe at any time).

- Operate and improve our community spaces, including moderation and abuse prevention.
- Monitor and improve the Services through analytics and aggregated reporting.

Service providers (data processors)
We use trusted vendors to operate the Services. Examples include:
- Stripe — payment processing and subscription management.
- Cloudflare — hosting, CDN, R2 object storage (course videos, audio, downloads), and DDoS protection.
- Fly.io — application hosting for the portal and supporting services.
- Listmonk — newsletter and broadcast email delivery, self-hosted on our infrastructure.
- Transactional email provider — receipts and account notices.
- Discord — member community (governed by Discord's own terms and privacy policy).
- Buzzsprout — public podcast hosting and analytics for the public podcast feed.
- Calendar / scheduling tools — for booking coaching or consultation calls.
We do not load fonts, scripts, or stylesheets from third-party content delivery networks on the public site. All fonts and assets are self-hosted on our own infrastructure.
These providers process information on our behalf and are bound to use it only for the purposes we direct.
Legal and safety disclosures
We may disclose information when required by law, subpoena, or court order; to protect the rights, property, or safety of ErgonomicsHelp, our members, or others; to enforce our Terms of Service; or to investigate fraud or misuse.
Business transfers

6. How Long We Keep Information

- Account profile and progress data: retained while your account exists; deleted on request, subject to legal holds.
- Purchase and tax records: retained for the period required by Canadian tax and corporate law (currently 6 years).
- Email subscription records: retained until you unsubscribe, plus a suppression record so we don't accidentally re-email you.
- Server and security logs: retained for a short period (typically 30–90 days) for diagnostic and security purposes.
7. Cookies and Tracking
We take a minimal approach to cookies and browser storage. We use only what's strictly necessary to deliver the Services you've asked for:
- Authentication cookies on the members' portal that keep you logged in.
- Local storage in your browser for preferences you set yourself (e.g., light/dark mode).
- Marketing-attribution cookies set only when you arrive through a tracked campaign link (used to credit the right campaign for a signup); these contain no personal identifiers.
We do not run third-party analytics, advertising pixels, session replay, or cross-site tracking on our website or portal. Because our storage is limited to what's strictly necessary to provide the Services, we don't display a cookie consent banner — under PIPEDA and the EU ePrivacy Directive, consent is required for non-essential trackers, and we don't use any.
You can clear cookies and local storage at any time through your browser settings. Clearing authentication cookies will sign you out of the portal.
8. Children's Privacy
Our Services are intended for adult professionals. We do not knowingly collect personal information from children under the age of 16. If you believe a child has provided us with personal information, contact us and we will delete it.

10. Security

11. Course Content, Reviews, and User Submissions
When you submit a course review, equipment review, product submission, lesson feedback, or comment, that content (along with your display name) may be visible to other members or, where you choose, to the public. Don't include information you don't want shared. You can request removal of your submissions at any time.
12. Third-Party Links and Embedded Content
Our Services link to and occasionally embed content from third parties (e.g., YouTube videos, Buzzsprout podcast players, Stripe checkout pages, Discord, third-party books and equipment we recommend). Those services have their own privacy policies, and we are not responsible for their practices.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you through the Services or by email. Continued use of the Services after an update constitutes acceptance of the revised policy.
